The role, in plain terms

The job
One defined piece of a recurring process. For example, logging each new inquiry and preparing a reply for approval.
Reports to
A named person on your team, who checks the daily summary and knows how to pause it.
Authority
Drafts and queued actions. A person still approves prices, unusual requests, and commitments.
Probation
A two-week supervised pilot, with failure tests passed before anything is trusted.

What we mean by an AI hire

A task with an owner, not a robot employee

An AI hire is one recurring task handed to a workflow that runs the fixed, repeatable parts and drafts the parts that need writing. A person on your team reviews the decisions that need judgment.

It does not replace anyone. It takes a task that waits on you today and gives it a clear route, a review rule, and a manual fallback. That is Step 5 of the roadmap, built with you.

What that could look like

A new website inquiry is logged, the right person is notified, and a reply is drafted from your pricing guide and queued for approval.

Or a customer follow-up is prepared after each job, ready for staff to check and send.

If your delay is larger than that, we choose one useful piece that fits.

What is included

One workflow, built, tested, and handed over

  1. A one-page process map

    What starts the workflow, what it does, where it waits for a person, and who owns it.

  2. One working workflow

    One trigger and one main outcome, connecting up to two tools you already use, with human review built in where it is needed.

  3. Setup and testing

    Including the failure tests from Step 5: missing details, duplicates, unusual requests, and a disconnected tool. Each one must stop safely or reach a named person.

  4. A 45-minute handoff

    Daily operation, exceptions, and how to pause the workflow and complete a case by hand.

  5. Two weeks of adjustments

    Changes within the agreed scope after launch, while your team runs the supervised pilot.

Who is a good fit

  • You own a business with a repeatable process and a clear task or delay to improve.
  • You have completed Steps 1 and 2 of the guide, or will before the build starts.
  • You can provide authorized access to the tools involved and current process information.
  • You can name one person to test, learn, and own the workflow.
  • You are willing to give honest feedback afterward. A public testimonial is optional and needs your approval.

What "free" covers

  • Free: the process map, build, testing, handoff, and two weeks of adjustments.
  • Yours to pay: any software subscriptions or usage fees the workflow needs. These are identified before you accept.
  • Outside the giveaway: custom applications, major system migrations, ongoing maintenance, and workflows that make consequential decisions without human approval.

How it works

How two businesses are selected

This is a selection, not a drawing. I choose on workflow fit and readiness, not business size. Applying does not guarantee a build.

  1. Apply by the deadline

    Describe one recurring task and who would own it. Applications close Friday, October 16.

  2. I read every application

    If yours is a close fit, I may email a question or two about the process. You hear the outcome within one week of the deadline, either way.

  3. You review a written scope

    Selected businesses get the workflow, approval rules, test criteria, any tool costs, and the schedule in writing. You can decline before work begins.

Short answers are fine. A rough description of what happens today is more useful than a polished plan.

  • Pick a task that repeats. Weekly or more often is best.
  • Pick one you can check. You should know a good result when you see it.
  • Leave out customer details. Describe the process, not the people in it.

Before you apply

Is there a catch?

No purchase is needed to apply or to accept. The build itself is free. If the workflow needs a paid tool or carries usage fees, those are yours, and you see them in the written scope before you decide.

Does this replace someone on my team?

No. The workflow handles the fixed, repeatable actions and prepares drafts. A named person on your team owns it, reviews what needs judgment, and can pause it.

What access will you need?

Authorized access to the one or two tools the workflow connects, and the current version of the process. Nothing beyond what that workflow needs, and all of it is listed in the written scope.

What if I have not finished Steps 1 and 2?

Apply anyway, and finish them before the build starts. Your own wins are what tell you whether the workflow's output is good. The guide is free and covers both steps.

What if I am not selected?

You hear from me either way. The task you described in your application is already a good starting point for Step 5, whether you build it yourself or bring in help.
